Managing Your Organization's Documents

Please note that only the contact associated with your organization will have the user rights to add or update records.

As part of the Open Society Foundations' grant process, you may be asked to provide supporting documentation. To simplify your experience and minimize redundancies, you can upload and store your documents in the Document File within your profile. These documents will automatically link to your proposals when needed.

Please note that you will also have the opportunity to update these files throughout the application process.

  1. Select Organization Profile from the top navigation bar.

Add/Upload New Documents

  1. Scroll to the bottom of the record
  2. Select Documents and [Add Document]

Enter Document Type

3. Under Document Type, click to select the type from the list.

Please note that the type of document must match the document that is being uploaded. Based on the document type tag/classification, the system will use it in the appropriate way.

For example, for Audited financial statements, internal financial documents, Form 990, or other annual organizational financial reports, please tag as "Financial Statements."

Add Document Year If Applicable

You will be required to input the year if you are entering the following document types:

  • Annual Report
  • Financial Statements
  • Organization Budget
  • Strategic Plan 
     

Upload document to Portal

  1. Click on [Upload Files]
  2. Select File from your local computer network (hard drive or network drive)
  3. Click [Open]
  4. File will automatically upload and will present a success window
  5. Click [Done] to complete

Replace or Delete Stored Documents 

All documents uploaded for your organization will be stored in the Document Section. Please note that documents submitted with a proposal will not appear here.

  1. Scroll to the bottom of the record
  2. Select Documents
  3. Click on Arrow Action button
  4. Select Replace or Delete

Please note that if your document is connected with a submitted proposal or active grant, it cannot be replaced or deleted.

Sample Document Tagging

Document Tag Document Type
Financial Statements Audited financial statements, internal financial documents, Form 990, or other annual organizational financial reports
Annual Report Annual Report for an organization or entity
Intermediary Agreement Agreement, memorandum of understanding (MOU), or other document outlining the fiscal sponsorship or intermediary arrangement
Legal Registration Documentation related to establishment of the organization as a legal entity. May include corporate documents, articles of incorporation, or license
Organization Budget Annual budget for the organization
Strategic Plan Multi-year or single year strategic plan for the organization, entity, program or project
Tax Status Documentation Documentation related to tax status including EIN, IRS determination letters, and Equivalency Determination documentation
